We are recruiting on behalf of a well-established and highly regarded property business seeking an experienced Assistant Property Manager to join their residential estate management team.
This is a varied role offering the opportunity to work across leasehold administration, service charges, Section 20 procedures, resident communication and wider estate management.
The successful candidate will already have experience within residential estate management and be comfortable working with leaseholders, service charges and the administrative requirements associated with managing residential estates.
You will work alongside experienced Property Managers, supporting the day-to-day management of the portfolio whilst continuing to develop your technical property management knowledge.
Please note: Relevant residential estate management experience is required for this position. Applicants should also be based within approximately a 45-minute commute of the office in the Hackney area, so please check your journey before applying.
The Role
You will support the Property Management team with the day-to-day management and administration of a residential portfolio, acting as an important point of contact for leaseholders, residents and professional contacts.
Key responsibilities will include:
- Acting as a first point of contact for leaseholders, tenants and residents.
- Responding to enquiries by telephone, email and post in a professional and timely manner.
- Supporting the administration of residential leases and leasehold matters.
- Preparing and issuing annual and interim service charge demands.
- Processing and allocating service charge payments.
- Producing statements of account.
- Monitoring service charge arrears.
- Issuing reminder letters, final demands and pre-legal notices in accordance with company procedures.
- Liaising with leaseholders regarding outstanding balances and payment plans.
- Supporting and administering Section 20 consultation procedures.
- Preparing LPE1 management packs for property sales.
- Obtaining information required for conveyancing enquiries.
- Liaising with solicitors, managing agents, freeholders and leaseholders throughout the sales process.
- Raising invoices and monitoring administration fee payments.
- Updating ownership records following property sales.
- Maintaining accurate leaseholder records and correspondence details.
- Maintaining insurance documents, compliance certificates and lease documentation.
- Supporting the wider Property Management team with general estate management administration.
About You
For this particular position, previous experience within residential estate management is essential.
We are looking for someone with:
- Previous experience within residential estate or leasehold property management.
- Experience of service charge administration.
- Experience and a working understanding of Section 20 consultation procedures.
- A good understanding of residential leases and leasehold management.
- Experience dealing directly with leaseholders and residents.
- Strong administrative and organisational skills.
- Excellent written and verbal communication skills.
- The confidence to manage queries professionally and provide a high standard of customer service.
- Strong attention to detail and the ability to manage a varied workload.
- Good IT skills, ideally including property management software.
- The ability to commute to the N19 office within approximately 45 minutes.
Experience preparing LPE1 management packs, managing arrears and dealing with conveyancing enquiries would be advantageous.
Knowledge of Landlord and Tenant legislation, Health & Safety requirements, building insurance and wider leasehold compliance would also be beneficial.
